AI automation for small business: what to automate and what it costs

AI automation is software that does a task you repeat every week without a person starting it each time. For most small businesses the honest answer is that only a handful of tasks are worth automating — and the expensive mistake is automating the wrong one. This page lists the seven that usually pay for themselves, what each costs, and how to tell which one applies to you. BM Tech builds them at fixed, published prices from $1,500, and the audit that decides what you need is free.

What is AI automation, in plain terms?

Automation has existed for decades: a rule fires, something happens. What changed is that the software can now handle the messy middle — reading what a customer wrote in their own words, in English or Spanish, working out what they want, and deciding what to do next. That is the whole difference, and it is the reason tasks that used to need a person can now run unattended.

It is worth being precise about what this is not. It is not a chatbot bolted onto your website. It is not replacing your team. And it is not one large system: it is a small number of specific jobs, each one built, tested and handed over separately.

What can I automate in my business?

Seven jobs account for almost everything a small business asks us for. Each runs on a fixed trigger and has a predictable answer — which is exactly what makes it automatable.

JobWhat triggers itTypical priceLive in
Answering the phone 24/7An inbound call nobody picks up$225 + $99/mo1–2 weeks
Replying to every new leadA form, a WhatsApp message, a missed call$225 + $50/mo1–2 weeks
Booking and remindingA confirmed appointmentFrom $1,5002–3 weeks
Asking for a Google reviewA job marked finishedFrom $1,5002 weeks
Onboarding a new clientA signed proposalFrom $1,5002–3 weeks
Chasing overdue invoicesAn invoice past its due dateFrom $1,5002 weeks
The weekly report built by handA day and timeFrom $1,5002–3 weeks

If what you need is not on that list, it is usually one of two things: a tool that does not exist yet, which is custom software from $3,000, or a task that only looks repetitive and should stay with a person.

Which one should you automate first?

Answer these three questions about a task. If all three are yes, it is a candidate. If any is no, leave it alone for now.

  1. Does it happen at least weekly? A task that fires twice a year will never repay the build.
  2. Is the right answer predictable? If two people on your team would handle it differently and both be correct, it needs judgement, not automation.
  3. Does a delay cost you money? This is the one people skip. Speed is where automation earns its keep: a Harvard Business Review study of 2.24 million leads found firms that replied within an hour were about 7× more likely to qualify the lead than those that waited only sixty minutes longer.

That third question is why answering the phone and replying to leads are almost always first. No small business can promise a human reply at 9 PM on a Tuesday. Software can.

How much does AI automation cost in 2026?

Our prices are published and fixed in writing before work starts. There is no hourly billing and no bundle price — each service is quoted separately and combined into one written proposal.

What you getOne-timeMonthly
AI phone receptionist$225$99
WhatsApp & SMS lead follow-up$225$50
An automation built for your businessFrom $1,500
A small custom toolFrom $3,000
Internal tool or dashboard with loginFrom $6,000

The alternatives sit on either side of this. Off-the-shelf SaaS is cheaper per month but leaves you to configure and maintain it. Traditional software firms scope this kind of work as a project and quote accordingly, which is where five-figure estimates come from. Our full price list is on the pricing page, and it is the same number you get on the phone.

What is an AI audit, and why is ours free?

An AI audit is a review of how your business actually runs week to week, to find which repeated tasks are worth automating — and, just as importantly, which are not.

The output is a short written list: the task, roughly what it costs you in hours today, what automating it would cost, and whether those two numbers justify each other. You keep the list whether or not you hire us.

It is free because it is also how we decide whether we can help. Often the honest answer is that a business should fix a process or change a tool before automating anything, and we would rather say that on a free call than halfway through a paid project.

What we need from you for the audit

Do I have to replace my current software?

Usually not. Most automations connect to what you already use. Replacing working software is expensive and rarely the cheapest path to the outcome you want. If a tool genuinely cannot connect, the audit says so plainly rather than quietly designing around it and billing you for the workaround.

Who builds it

BM Tech is a two-founder studio based in Palm Beach County, Florida, working in English and Spanish. We run our own software in production before selling the same technology to anyone else: ReSharpe, a property analysis platform, and Dashlio. You own your code, your accounts and your data, in full, from day one.

We work across Palm Beach County in person — West Palm Beach, Boca Raton, Delray Beach, Boynton Beach, Jupiter, Wellington and Palm Beach Gardens — and anywhere in Florida and the United States remotely. More on how we work as an AI automation agency across Florida.
